Leads help

Use Leads to keep every enquiry visible, owned, and ready for the next action.

What it does

  • Keep contact details, source, sales stage and expected value together.
  • See the assigned member, lead manager and supporting lead team.
  • Connect notes, communication and follow-ups to the same record.

How to use it

  • Create or capture the lead, then check its source and sales stage.
  • Set the lead manager and assigned member before handing it over.
  • Schedule a clear next action and update the outcome as work progresses.

  • Check search, filters and archive selection before reporting a missing lead.
  • Confirm your role and participation if editing is unavailable.

Understanding the Leads page

A lead is one enquiry or sales opportunity in your current business. Leads groups the identity, ownership and next action so the team can work from the same record rather than separate lists.

The workspace supports a board-style list, grouping, sorting and configurable columns. Search works across visible lead information. Quick Owner and Sort menus apply immediately; the Filter drawer stages changes until you choose Apply filters.

  • Use Group by to organize the visible list; this does not move a lead to a different sales stage.
  • Use Columns to show relevant fields. The Lead identity column stays pinned while wider columns scroll.
  • Clear search and active filters before concluding that a record is missing.

Adding a lead manually

  1. Open Leads and choose Add lead to open Create lead.
  2. Enter Lead name, then Phone, Email and Company where available. Choose the required Lead source and Sales stage from your business options.
  3. Select a Lead manager. Choose the Assigned member from that manager’s team, and add supporting lead team members if needed.
  4. Set Follow-up date/time when there is a concrete next action. Enter Expected deal value with the correct currency; use Notes for useful context.
  5. Review any required custom information and save. Check the success feedback, open the record and confirm ownership and the next follow-up.

Owner, assigned member and lead manager

The business Owner role is not the same thing as a lead’s Assigned member. The assigned member is responsible for daily work; the Lead manager provides oversight, and lead team members support the record.

Selecting a manager controls which salespeople are offered for assignment. If the list looks empty, check the manager relationship and active team membership first. An ownership change can affect which people can find and work on the lead.

  1. Open the record’s edit form and review Lead manager.
  2. Choose an eligible Assigned member and supporting team members.
  3. Save, then confirm Ownership and team on Lead Detail. Give the new assignee a context note and review existing follow-up assignments separately.

Lead status and Sales stage

Lead status records the customer outcome; Sales stage describes progress through your sales process. They are separate fields. Business-configured labels can differ from the default lifecycle, so use the options shown in your workspace rather than a fixed list from a screenshot.

  • Underlying lead outcomes include new, contacted, follow-up, proposal, converted and lost.
  • New lead creation starts with the default New status. Edit the existing record to update its outcome.
  • A converted outcome should have actual converted revenue; expected deal value is not proof of revenue.
  • For a lost outcome, record a useful Lost reason where available. Recovery highlights neglected or at-risk leads; it is not a guaranteed prediction of a sale.

Keeping the next follow-up visible

Use Schedule follow-up on Lead Detail when you know the next useful action. The history shows pending and finished work for that lead. Completing a task does not automatically decide what the next task should be.

  1. Check existing follow-ups so the same action is not scheduled twice.
  2. Choose a due date/time and assigned member, and put the action in Notes.
  3. Complete or reschedule deliberately. If another action is needed, schedule it and verify the refreshed next-follow-up summary.

Working in Lead Detail

Open a lead from its name in Leads. The compact identity and summary sit above an operational workspace with Ownership and team, Follow-ups, communication tools, notes, and Activity and history.

The right rail contains Lead Information, combined intelligence and leakage risk, Custom Information and the Customer Feedback Link. Review risk reasons and suggested action as prompts for human review, not as evidence that the customer has rejected you.

  • Use notes for a concise handoff, not passwords or provider credentials.
  • Communication tools depend on a configured business channel and your permissions.
  • The feedback link is a public utility for that lead; share it intentionally and avoid pasting private record identifiers into public support messages.

Editing and checking a saved change

  1. Open the permitted lead and choose Edit lead.
  2. Update the fields offered to your role. Sales has a limited edit form rather than the full ownership/value controls.
  3. Save and check the feedback. Reopen the record to verify the new information if you are unsure whether the change persisted.

Archive, restore and permanent deletion

Archive removes a lead from the active workflow without treating it as a won or lost outcome. Use the archive selection to find archived records and Restore when the record should return to active work.

Permanent deletion is restricted to archived records and permitted users. It is destructive: do not use it as a troubleshooting step. Review the record and any confirmation carefully before choosing it.

  • Owner and Manager can manage permitted lead lifecycle actions.
  • A Sales member needs direct participation to perform permitted lifecycle actions.
  • Viewer cannot archive, restore or delete records.

Why different people see different leads

Role checks, hierarchy, configured access and server-side record scope all matter. Being able to see a shared lead does not necessarily authorize every edit. Ask the Owner to review access rather than sharing credentials.

Troubleshooting

I cannot find a lead

Clear search and filters, check archive selection and confirm the current business. If a colleague sees it and you do not, ask the Owner to check assignment, lead team and visibility settings.

I cannot edit this lead

Check whether it is archived and whether you are a Viewer. Sales editing requires direct participation and exposes fewer fields than the Owner/Manager form.

The owner or next follow-up is incorrect

Review Lead manager and Assigned member on the edit form, then check each pending follow-up’s assignee and due date. Save and verify the record rather than assuming a handoff updated every task.

The lead appears more than once

Compare email, phone and source before deleting anything. Check whether different capture paths created separate records; inspect import duplicate results or integration logs where relevant.
